CamOnsite ("we," "us," or "our") provides a mobile-first field documentation platform for home service businesses. This Privacy Policy explains how we collect, use, share, and protect information when you use our mobile apps, web admin dashboard, and related services (collectively, the "Services").
By using the Services, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Services.
Information we collect
Account information: name, email address, password (stored as a secure hash), role, business affiliation, and account preferences.
Job and site information: job titles, descriptions, schedules, status history, addresses, Google Place IDs, latitude/longitude coordinates, notes, and assignment details.
Media and field evidence: photos, videos, audio recordings, captions, timestamps, dimensions, file metadata, and optional location data attached to captured media.
Device and technical data: device push notification tokens, app version, sync status, and usage logs needed to operate and secure the Services.
AI processing logs: records of AI-related operations such as photo analysis, checklist extraction, and transcription for operational monitoring and billing.
How we use information
We use collected information to:
- Provide, maintain, and improve the Services
- Authenticate users and enforce role-based access
- Manage jobs, teams, checklists, and reports
- Process photos and audio with AI to suggest checklist matches, generate guidance, and extract checklist items from documents
- Send transactional emails and push notifications
- Support offline sync and data recovery
- Monitor security, prevent abuse, and comply with legal obligations
Device permissions
The CamOnsite mobile app may request access to your device camera, microphone, photo library, location (while using the app), and notifications. These permissions are used to capture field evidence, attach optional location metadata, and deliver job-related alerts. You can manage permissions in your device settings, though some features may not work without them.
Local storage on your device
The mobile app stores job data and media locally in an offline database so technicians can work without connectivity. Authentication tokens may be stored using secure device storage. Local data syncs to our servers when connectivity is available.
How we share information
We do not sell your personal information. We share information only as needed to operate the Services, including with service providers that process data on our behalf:
- Amazon Web Services (S3) for media and report storage
- OpenAI for photo analysis, checklist extraction, transcription, and AI-assisted guidance
- Firebase for push notifications
- Resend for transactional email
- Google Places for address autocomplete and location lookup
We may also disclose information if required by law, to protect rights and safety, or in connection with a business transaction such as a merger or acquisition.
Data retention
We retain information for as long as your account is active or as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods for job media and reports may vary based on your business settings and applicable law.

Business customers are typically responsible for field employee data collected through their CamOnsite account. Employees should contact their employer for workplace data requests when applicable.
Security
We use administrative, technical, and organizational measures designed to protect information, including encrypted transport, access controls, and secure credential storage. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Children
The Services are not directed to children under 13, and we do not knowingly collect personal information from children.
International transfers
Information may be processed in countries other than where you live. Where required, we take steps designed to ensure appropriate safeguards for cross-border transfers.
